These Terms of Service ("Terms") govern your use of the CitySchedule platform located at cityschedule.app, operated by CitySchedule LLC. By creating an account or submitting a reservation request, you agree to these Terms in their entirety.

Two types of users.CitySchedule is contracted by cities and municipalities ("City Customers") to provide appointment scheduling services to their residents. If you are a resident using CitySchedule to request a city service, these Terms apply to you. If you are a city employee or administrator, your use is additionally governed by the agreement between your city and CitySchedule.

1. The Service

CitySchedule is a web-based platform that allows residents to schedule appointments for municipal services such as permit inspections, utility connections, and other city-administered programs offered by participating cities. The availability of specific services, appointment slots, and approval decisions are determined entirely by the city, not by CitySchedule.

We are a technology platform, not a city department. CitySchedule does not control whether your reservation is approved or denied, set service eligibility requirements, or make decisions about city services. All such decisions rest with city staff.

2. Accounts

Creating an Account

You must create an account to submit a reservation request. You agree to provide accurate information including your full name, email address, and phone number if requested, and to keep it up to date.

You must be at least 18 years old to create an account, or have the legal authority to submit service requests on behalf of a property or business.

Account Security

You are responsible for maintaining the confidentiality of your account credentials. Notify us immediately at support@cityschedule.app if you believe your account has been accessed without your authorization.

All accounts are required to enroll a multi-factor authentication (MFA) factor using an authenticator app. There are no exemptions: until you enroll and verify a second factor, you cannot reach your reservations. You agree to keep your second-factor device secure and not to share your authentication codes with anyone.

If you lose access to your second-factor device, contact support@cityschedule.app. After we verify your identity, a platform administrator can reset your MFA enrollment; you must then enroll a new second factor before you can access your account again.

We reserve the right to suspend or terminate accounts that show signs of unauthorized use or that violate these Terms.

3. Acceptable Use

You agree to use CitySchedule only for its intended purpose: scheduling legitimate municipal service appointments. You agree not to:

  • Submit false, misleading, or fraudulent reservation requests
  • Impersonate another person or submit requests on their behalf without authorization
  • Attempt to access reservation records, files, or data belonging to other users
  • Use automated tools (bots, scrapers, scripts) to interact with the platform without written permission from CitySchedule
  • Attempt to probe, scan, test, or exploit the platform for vulnerabilities (responsible disclosure: contact security@cityschedule.app)
  • Upload files containing malware, viruses, ransomware, or other malicious content
  • Interfere with or disrupt the platform, servers, or networks connected to CitySchedule
  • Use the platform in any way that violates applicable local, state, or federal law
  • Attempt to bypass authentication, authorization, or access controls
  • Extract, bulk download, or mass export data from the platform

Enforcement: Violations may result in immediate account suspension, deletion of data, and referral to the relevant city authority or law enforcement. CitySchedule retains logs of all suspicious activity for security purposes.

4. Reservations and Uploaded Documents

Your Reservation Requests

Submitting a reservation request does not guarantee an appointment. Requests are reviewed, approved, denied, rescheduled, or cancelled at the sole discretion of city staff based on eligibility criteria, resource availability, and applicable law.CitySchedule has no role in those decisions and is not liablefor a city's approval or denial of any request, nor are we liable for delays in review.

For some services the city needs a site address (for example, the location of an inspection). When a service requires it, the booking form will ask for the address, and it becomes part of your reservation record.

After an appointment, assigned city staff may record an inspection outcome (such as passed, failed, or partial), add notes, and attach field photos to your reservation. These results and photos are visible to you and to authorized city staff.

Once submitted, your reservation request is visible to authorized city staff and cannot be deleted. You may only cancel future appointments. Cancelled and closed reservations are retained in city records for municipal recordkeeping purposes (typically 3 years).

Uploaded Files

You may upload supporting documents as part of a reservation. By uploading a file, you represent and warrant that:

  • You have the legal right to share the file
  • The file does not contain unlawful, defamatory, or infringing material
  • The file does not contain malware or other malicious content

Permitted file types: JPEG, PNG, GIF, WebP images; PDF documents; Microsoft Word (.doc, .docx) files. Maximum file size: 10 MB per file.

You retain ownership of documents you upload. You grant CitySchedule and the relevant city a limited, non-exclusive license to store, display, and process those files for the purpose of evaluating and fulfilling your service request. This license survives account deletion and reservation closure for the duration of our data retention period.

File security: Uploaded files are accessible only via authenticated requests; download links are cryptographically signed and expire in 1 hour. City staff can access files only for reservations assigned to their city.

5. Privacy

Our collection and use of your personal information is described in our Privacy Policy, which is incorporated into these Terms by reference.

Your reservation information including your name, contact details, and uploaded documents will be shared with city staff as described in the Privacy Policy. Use of that information by the city is governed by the city's own privacy practices and applicable public records law.

6. Service Availability & Maintenance

We aim to keep CitySchedule available and reliable with a 99.9% uptime target, but we do not guarantee uninterrupted access. The platform may be temporarily unavailable for scheduled maintenance, infrastructure upgrades, security patches, or circumstances beyond our control including third-party provider outages.

We are not liable for losses or inconvenience caused by service interruptions, including missed appointment windows, inability to submit or reschedule requests, or delays in receiving notifications. We encourage you to submit critical reservations well in advance of any deadlines.

7. Intellectual Property

CitySchedule, including its software, design, and content, is owned by CitySchedule LLC and protected by applicable intellectual property law. These Terms do not grant you any right to copy, modify, distribute, or create derivative works from the platform.

8. Disclaimers

The platform is provided "as is" and "as available." To the fullest extent permitted by law, CitySchedule disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, non-infringement, and accuracy. We do not warrant that the platform will meet your requirements, be uninterrupted or error-free, or that any defects will be corrected.

City decisions are not CitySchedule decisions. CitySchedule is a technology platform only. We do not control city service policies, eligibility requirements, appointment availability, or reservation approval decisions. The city bears sole responsibility for all such decisions.

9. Limitation of Liability

To the fullest extent permitted by law, neither CitySchedule nor our service providers will be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform, including but not limited to:

  • Lost data or files
  • Denied or delayed reservations
  • Missed appointment windows or deadlines
  • Service interruptions or unavailability
  • Loss of profits, revenue, or business opportunities

Total liability cap:CitySchedule's total liability for any claim or dispute will not exceed the greater of (a) $100 or (b) the amount you paid CitySchedule in the 12 months preceding the claim. This limitation applies regardless of the theory of liability (contract, tort, negligence, strict liability, or otherwise) and even if CitySchedule has been advised of the possibility of such damages.

Some jurisdictions do not allow exclusion or limitation of incidental, consequential, or punitive damages, so the above limitations may not apply to you. In such cases, CitySchedule's liability will be limited to the maximum extent permitted by law.

10. Termination

You may close your account at any time by contacting support@cityschedule.app. We may suspend or terminate your account if you violate these Terms or if we discontinue the platform.

When an account is closed, your sign-in access is removed immediately. Your profile and reservation records are retained in city records for the retention period described in our Privacy Policy, as required for municipal recordkeeping.

11. Governing Law and Disputes

These Terms are governed by the laws of the State of California. Disputes will be resolved in the state or federal courts of Los Angeles, California. Before filing any legal proceeding, contact legal@cityschedule.app and give us 30 days to resolve the dispute informally.

12. Changes to These Terms

We may update these Terms from time to time and will notify active users by email at least 14 days before material changes take effect. Continued use of CitySchedule after the effective date constitutes acceptance of the revised Terms.

14. Entire Agreement

These Terms, together with our Privacy Policy and any other policies posted on the platform, constitute the entire agreement between you and CitySchedule regarding your use of the service. If any provision is found invalid or unenforceable, the remaining provisions will remain in full force and effect.
